How to use message templates
Message templates in Collect let you save time and ensure consistency by reusing commonly sent messages across campaigns. Whether you’re sending reminders, instructions, or follow-ups, templates help standardize communication while still allowing personalization through variables.
This guide covers how to create, manage, and use message templates in two ways: while sending a message and from your workspace settings.
Templates are especially useful when:
Sending similar updates across multiple campaigns
Maintaining consistent language in reminders or follow-ups
Collaborating with team members who need access to shared messages
You can create a message template in two ways:
While sending a message
From the Templates section in Settings
This is the fastest way to save a message you’ve just written as a reusable template.
Open your campaign dashboard.
Click the Send a message button (paper airplane icon) below the Campaign status block.
In the Send a message dialog:
Choose the message type (email or SMS).
Fill in the Subject and Content fields.
Use variables to personalize the message dynamically.
Click the Templates button (bottom left) and select Save as template.


In the pop-up:

Enter a template name.
Choose the visibility:
- Private – only you can use it
- Team – available to all team members
Click Save template to confirm.
Your message is now saved as a reusable template for future use.
Use this method for managing all your templates in one place.
Click your profile icon (top right) and go to Settings.
Select Templates from the left-hand menu.
On the templates page:
View all existing templates
Edit or delete a template using the buttons on the right
To create a new one:
Click Add a new template (top right)
In the Edit template dialog, enter:
- Template name
- Subject and Content
- Visibility (Private or Team)
- Optionally, insert variables to customize the message
Click Save to finish
When you're ready to send a message:
Open the Send a message dialog (from a campaign or request).
Click the Templates button (bottom right).
Select a template from the dropdown list.
The Subject and Content fields will be auto-filled with the template content.
Make any final edits if needed, then send the message.
