How to add static text to your portal

Static text elements let you add rich, informative content to your client portal. Whether you're welcoming new clients, giving instructions, or sharing reference materials, this is the go-to block for non-interactive content.

What is a static text element?



A static text element is a flexible content block that allows you to display information in your portal without expecting any action from the client. It supports a wide range of content types:

Formatted text
🔗 Links to external resources
🖼️ Images
🎥 Videos
📎 Documents for download

You can also enhance personalization by using variables to dynamically insert client-specific data, such as their name or company.

Note: You can upload up to 5 files (images, videos, or documents) per text block.

Why use static text?



Text elements are essential for making your portal client-friendly, clear, and easy to navigate. Use them to:
Add a welcome message to set the tone
Provide step-by-step instructions for each section
Share helpful guides or embedded how-to videos
Highlight deadlines or important notes
Include legal disclaimers or terms
Insert downloadable resources (e.g., brochures, templates, sample documents)

Adding context helps reduce confusion, speeds up client completion time, and creates a more polished onboarding experience.

Using variables to personalize your content



Collect supports the use of dynamic variables in static text. You can pull in data from your CRM (like HubSpot) to customize the message for each recipient.

Example:



“Hi {contact_firstName}, welcome to your onboarding portal at {company_name}!”

Variables work well for:
Greeting the client by name
Displaying relevant details like plan name or onboarding stage
Linking instructions to their unique data

This adds a human touch, improves engagement, and removes the need for manual updates.

How to add a static text block



Create or open a campaign in the editor.
Click “Add element” and select Text.



Give the block a name (e.g., “Welcome message” or “How to upload documents”).
Open the context menu (⋯) next to the element and click Edit.



This will open the rich text editor, where you can:
Format your text (headings, bold, lists, alignment, font sizes)
Add links, images, videos, and file attachments
Insert variables
Scroll down to Advanced settings to edit the internal name of the element (for team clarity)

Once you're done editing, click Save this text (bottom left of the editor).

Managing files and updates



After publishing the portal, you can still make edits to your text blocks:
Use the context menu (⋯) at the top right of the block to upload new files or remove outdated ones.
Modify or update the text, media, or links as needed — changes will be reflected in real time.

Well-placed static text makes your portal not just functional, but also engaging and easy to follow. It’s one of the most powerful tools to guide your clients through every step of the journey.
